Two weeks inside your dental practice. One page of leaks, in dollars.
We read your phones, schedule, recall, software and insurance, then hand you one page: where you lose patients and money, ranked, and what to fix first. You pay after the report call.
Five places money leaks. We read all five.
On Dentrix, Dentrix Ascend and Eaglesoft we read the same five areas from their standard reports: your front desk pulls four of them with our step-by-step sheet, about 20 minutes. Open Dental adds direct claim data, so the insurance section goes deeper there.
Phones
30 to 90 days of call logs: missed calls, voicemails, after-hours calls, and how long callbacks take.
Treatment
Treatment planned and never scheduled, by doctor and by procedure.
Recall
Patients due for hygiene, how many were reminded, how many booked.
Software
Every tool you pay for, what it costs, and how much of it your team actually uses.
Insurance
How your fees, write-offs and uninsured discounts interact. Deepest on Open Dental.
What happens, day by day.
About an hour of your team's time on day one. Then we go quiet and read.
- Day 1You give us read access or a handful of exports. We send a checklist.
- Days 2 to 10We read. You hear from us only if something is urgent.
- Day 14One page of findings in dollars, ranked, and a 45-minute call to walk through it.
- AfterYou keep the report. Start a kit, start the Operations Partner, or do it yourself with our list. All three are fine.
What counts as a leak, in writing.
Here is exactly what we count, and what we don't.
We find $10,000 a year in leaks, or you don't pay.
A leak is money you lose every year and can get back, counted in your own systems.
- Under $10,000 found
- Invoice void. Keep the report.
- $10,000 or more
- Pay $1,500, after the report call.
- Fix within 30 days
- $1,500 credited in full.
A leak counts when
- It starts from something counted in your own data: calls, unscheduled treatment, due patients, invoices
- It is valued at your own numbers: your booking rate on answered calls, your fees
- Where we assume a recovery rate, we print it and keep it low, like one case in seven
- It is money lost each year going forward. If you can't confirm a line in your own report, it comes out of the total
We don't count
- Patients you might attract with more marketing
- Industry averages with no line in your data behind them
- Anything we couldn't measure. It is listed as unmeasured, never as zero
The questions everyone asks.
What access do you need?
Read-only access where your software allows it, or a handful of exports where it doesn't: call logs from your phone system, the unscheduled treatment and recall reports from your practice software, and twelve months of software invoices. We send a checklist on day one and it takes about an hour of someone's time.
What if my practice software isn't Open Dental?
The check works on Dentrix, Dentrix Ascend, Eaglesoft and the rest, through their own reports. Open Dental lets us go further, because its official API lets us read claims directly, so the insurance section goes deeper there.
Do you need to talk to my team?
One 30-minute call with whoever runs the front desk. That's it during the two weeks. We don't sit in your office or shadow anyone.
What happens to patient information?
Every new engagement signs a Business Associate Agreement before we read anything that includes patient information. The report you get uses counts and dollars. Lists with names, like a callback list, go to your office as a file.
What if the check finds less than $10,000?
Then you don't pay, and you keep the report. We would rather lose the fee than sell you a fix you don't need.
Book the Practice Check. Pay after the report.
Thirty minutes to agree on access and dates, then two weeks of reading. If the total on page one is under $10,000 a year, the invoice is void. Not ready? Start with the free Outside Look instead.
