What we found. What we did. Where it stands.

Every practice here agreed to be named. We leave their numbers out, because those belong to them, and we say plainly what is finished and what is still in progress.

Smiles by Goh

Dr. Irwan Goh · Henderson, NV · Open Dental
Operations

Good marketing, a leaky middle: phones, recall and insurance data.

FoundWhen the after-hours AI line was retired, we measured what it had been catching, and found voicemails that never got a callback. Recall reminders stopped after two texts. Insurance policies patients had left long ago were still open in the software, so every "insured patients" list was wrong. And the desk was not recording how new patients heard about the practice.
What we did, and where it stands
DidRead four months of call records and handed the team a callback list. Switched on a recall sequence that keeps going after the second text. Built the insurance analysis carrier by carrier from Open Dental's own claims. Built and tested a tool that closes dead policies one record at a time, with the office's sign-off on each batch.
NowThe recall sequence is live. The callback routine, the desk's "how did you hear" habit and the policy cleanup are in progress.

Westlake Dental

Dr. Tarek Badawy & Dr. Rachel Kogan · Sterling, VA · Dentrix Ascend
Website + booking

A rebuild that kept every old page Google knew, and booking you can measure.

FoundAn established practice on an aging WordPress site, with years of old pages Google still sent patients to, and no way to see which booking came from where.
What we did, and where it stands
DidRebuilt the site and moved every old address on launch night: 226 of 226 checked live. Rebuilt seven old articles from the WordPress database and added four pages patients were searching for. When the scheduling vendor's embed stalled at step two, we put their own booking page inside our window instead, with every step measured. Launched the Smile Reveal, a two-visit smile design experience, with its own pages.
NowPatients book on the practice's own domain, and each booking step is counted. Next: every form stamps the page and campaign it came from.

Rebrand + domain move

New name, new domain, nothing lost in the move.

FoundA new name and a new domain, and an old domain carrying all the history Google knew about.
What we did, and where it stands
DidBuilt the new site and forwarded every old address in a single hop. On launch day 18 of 18 old addresses landed on the right page in one step. At 60 days we re-checked every old address Google still showed and re-pointed the few that needed it.
NowGoogle is moving its listings to the new domain. We keep checking until it is done.

Hanover Dental Care

Dr. Mohammed Arafa's group · Montpelier, VA
Website, reference build

From Wix to the standard a group of four builds on.

FoundA practice on Wix, part of a group of four that wanted one standard for every office.
What we did, and where it stands
DidMoved it to its own build with 17 pages, drawn diagrams that explain treatment, services grouped the way patients ask about them, and a page on dental anxiety built because people nearby were searching for exactly that. It became the template its sister practices are built from.
NowLive, with a monthly blog. Its sister practice in Fredericksburg is already live on the same standard.

Hagar Dental Group

Dr. Basiony Hagar · Five practices in Virginia
Group management

Five practices, one owner, one team keeping every site current.

FoundOne owner, five practices, five websites, and the same question every time a doctor joins or a detail changes: who updates all of them?
What we did, and where it stands
DidOne team runs hosting, security, backups and updates for all five. When a new doctor joined, he went live across every site that needed him in the same week.
NowFive sites, one point of contact, no plugins for anyone at the practices to update.

Steel Valley Smiles

Munhall, PA
Website + content

Off Webflow, publishing every month, and a mistake we caught ourselves.

FoundA practice moving off Webflow. Later, on our own build, we caught a setting that told Google every page was the homepage.
What we did, and where it stands
DidBuilt a 30-page site, launched it, and kept it publishing every month. When we found the setting, we fixed it across the site the same week, and wrote the rule into every site we build.
NowLive since April with new articles every month.
